Cleaners W3 Service Terms and Conditions

These Terms and Conditions govern the provision of cleaning services by Cleaners W3 to residential and commercial clients in the United Kingdom. By booking or using our services, you agree to be bound by these Terms and Conditions. Please read them carefully before making a booking.

1. Definitions

In these Terms and Conditions, the following definitions apply:

Client means the individual, company, or organisation booking or receiving cleaning services from Cleaners W3.

Company means Cleaners W3, the provider of cleaning services.

Services means any cleaning or related services provided by the Company to the Client.

Premises means the property or location at which the Services are to be carried out.

Booking means a confirmed appointment for the provision of Services.

2. Scope of Services

The Company provides domestic and commercial cleaning services, which may include regular cleaning, one off deep cleaning, end of tenancy cleaning, post builders cleaning, and other agreed cleaning tasks. The specific Services to be provided will be set out in the Booking confirmation or otherwise agreed in writing between the Client and the Company.

The Company reserves the right to decline any Booking or to refuse to provide Services where the Premises are unsafe, inaccessible, or present a risk to the health and safety of its cleaners.

3. Booking Process

Bookings may be made through the Company’s online booking system or by other methods as made available from time to time. The Client is responsible for providing accurate and complete information at the time of Booking, including the address of the Premises, type and size of property, preferred dates and times, and any particular requirements.

A Booking will be deemed confirmed only when the Company has accepted the Booking and, where required, the Client has paid any applicable deposit or provided valid payment details. The Company may issue a Booking confirmation setting out the key details of the Services, including date, time, and estimated duration.

The Client must inform the Company of any special instructions or priorities at the time of Booking or, at the latest, prior to the commencement of the Services. While the Company will use reasonable efforts to follow the Client’s preferences, it cannot guarantee the completion of all requested tasks where time or conditions do not reasonably allow.

4. Access to the Premises

The Client is responsible for ensuring that the Company’s cleaners have safe and reasonable access to the Premises at the agreed time. This may include arranging for someone to be present to grant access or providing keys, access codes, or instructions in advance.

Where keys are provided to the Company, they will be securely stored and used solely for the purpose of delivering the Services. The Company will take reasonable care of any keys held but accepts no liability for loss or damage where such loss or damage arises from circumstances beyond the Company’s reasonable control.

If the cleaners are unable to gain access to the Premises at the agreed time, waiting time and any wasted journey may be chargeable, and the Booking may be treated as a late cancellation as set out in these Terms and Conditions.

5. Client Obligations

The Client agrees to:

Provide accurate information at the time of Booking and promptly update the Company of any changes affecting the Services.

Ensure the Premises are safe, adequately lit, and supplied with running water and electricity for the duration of the Services.

Inform the Company of any hazards, fragile items, or areas of particular sensitivity within the Premises.

Keep pets under control and ensure any aggressive animals are safely contained away from the areas to be cleaned.

The Client warrants that they are the owner of the Premises or otherwise have authority to permit the Services to be carried out.

6. Pricing and Quotations

Prices for Services may be quoted as hourly rates, fixed fees, or a combination of both. Any quotation provided by the Company is based on the information supplied by the Client and on the assumption of normal conditions at the Premises.

The Company reserves the right to adjust the quotation or final price if the information provided by the Client is inaccurate or incomplete, or if the state or size of the Premises requires significantly more time or resources than reasonably anticipated.

All prices are quoted in pounds sterling and, unless expressly stated otherwise, include any applicable taxes charged by the Company.

7. Payments

Payment terms will be confirmed at the time of Booking. The Company may require payment in advance, a deposit, or valid card details to secure a Booking. For ongoing regular services, payments may be taken on or shortly after the date of each visit, or on a recurring schedule agreed with the Client.

Payment may be made by card or other methods accepted by the Company from time to time. Cash payments are only accepted where explicitly agreed in advance. The Client authorises the Company to charge the agreed fees to the payment method provided for all Services delivered in accordance with the Booking.

Invoices are payable immediately upon receipt, unless otherwise stated. If payment is not received by the due date, the Company reserves the right to suspend or cancel further Services and may charge interest on overdue amounts at the statutory rate permitted under UK law.

8. Cancellations and Rescheduling

The Client may cancel or reschedule a Booking by providing notice to the Company. To avoid cancellation charges, the Client must provide the minimum notice period specified by the Company at the time of Booking. Where no specific notice period is specified, at least 48 hours notice prior to the scheduled start time is required.

If the Client cancels or reschedules a Booking with less than the required notice, the Company may charge a late cancellation fee up to the full amount of the scheduled Services. If the cleaners attend the Premises and are unable to gain access, the Booking may be treated as a cancellation without notice and charged accordingly.

The Company may cancel or reschedule a Booking due to circumstances beyond its reasonable control, including but not limited to staff illness, severe weather, transport disruption, or safety concerns. In such cases, the Company will offer an alternative appointment. The Company will not be liable for any loss or inconvenience arising from such cancellations or rescheduling, beyond refunding any prepayments for Services not provided.

9. Service Quality and Complaints

The Company aims to provide Services with reasonable care and skill. If the Client is dissatisfied with any aspect of the Services, they should notify the Company as soon as reasonably possible, and in any event within 24 hours of the Services being carried out for one off visits, or before the next scheduled visit for regular services.

Where a complaint is justified and relates directly to the quality of the Services provided, the Company may, at its discretion, offer a re clean of the affected areas or a partial refund. This will be the Client’s sole and exclusive remedy in relation to service quality issues.

10. Liability

The Company will exercise reasonable care in providing the Services. However, the Company’s total liability to the Client, whether in contract, tort, or otherwise, arising out of or in connection with the Services, shall be limited to the total amount paid or payable by the Client for the specific Booking giving rise to the claim.

The Company shall not be liable for any indirect, special, or consequential losses, including loss of profit, loss of opportunity, or loss of enjoyment, nor for any loss or damage that could not reasonably have been foreseen.

The Company is not liable for wear, discolouration, or damage arising from normal use, pre existing faults, poor installation, or the use of unsuitable or defective materials at the Premises. The Client is responsible for notifying the Company of any items that are particularly fragile, valuable, or irreplaceable, and the Company may decline to handle such items.

Nothing in these Terms and Conditions shall exclude or limit the Company’s liability for death or personal injury caused by its negligence, fraud, or any other liability that cannot be excluded or limited under applicable law.

11. Insurance

The Company maintains insurance cover appropriate for its business activities. Details of insurance cover can be made available to the Client upon reasonable request. The existence of insurance does not extend or increase the Company’s liability beyond that set out in these Terms and Conditions.

12. Client Property and Security

The Client is responsible for safeguarding cash, jewellery, and other valuables at the Premises. The Company does not accept responsibility for loss of cash or valuables unless there is clear evidence of wrongdoing by a member of its staff and such wrongdoing is established through a proper investigation.

The Client agrees not to solicit or employ any cleaner introduced by the Company for private work or engagements outside of the Company’s arrangements during the provision of Services and for a period of six months following the last Booking, unless otherwise agreed with the Company in writing.

13. Cleaning Materials and Equipment

The Company may use its own cleaning materials and equipment or may, by agreement, use products supplied by the Client. Where the Client provides products or equipment, they are responsible for ensuring that such items are safe, suitable for their intended purpose, and compliant with applicable regulations.

The Company is not responsible for damage caused by faulty or inappropriate products or equipment supplied by the Client. The Client should notify the Company in advance of any particular surface or material requiring specialised products or treatment.

14. Waste Handling and Regulations

The Company will dispose of general household waste generated in the course of cleaning using the Client’s existing bins and waste facilities at the Premises. The Client is responsible for ensuring that appropriate waste containers are available and that any local waste collection rules are observed.

The Company does not remove large volumes of waste, bulky items, construction rubble, hazardous materials, clinical waste, or any substances classified as controlled or special waste under applicable regulations. The Client must arrange separate licensed disposal for such materials and ensure they are not left for removal as part of standard cleaning Services.

The Company will comply, so far as reasonably practicable, with applicable waste and environmental regulations relevant to its activities. The Client agrees not to request or expect the Company to dispose of waste in any unlawful or improper manner.

15. Health and Safety

The Company is committed to maintaining high standards of health and safety. Cleaners are instructed to follow reasonable health and safety practices and to decline tasks that pose an unacceptable risk. This may include but is not limited to working at unsafe heights, moving excessively heavy furniture, or handling hazardous substances.

The Client agrees to support safe working practices and to remove or minimise any known hazards at the Premises before the Services commence.

16. Force Majeure

The Company shall not be in breach of these Terms and Conditions, nor liable for any delay or failure in performance, where such delay or failure results from events, circumstances, or causes beyond its reasonable control. This may include, without limitation, extreme weather, power failures, transport disruptions, strikes, pandemics, or changes in law or regulation.

17. Privacy and Data Protection

The Company will collect and process personal data relating to the Client for the purpose of arranging and delivering the Services, handling payments, and managing customer relationships. The Company will take reasonable steps to protect personal data and will process it in accordance with applicable data protection legislation in the United Kingdom.

18. Amendments to Terms

The Company may update these Terms and Conditions from time to time. The version in force at the time of the Client’s Booking will apply to that Booking. Where ongoing regular services are provided, the Company may notify the Client of material changes to the Terms and Conditions, and continued use of the Services following such notification will constitute acceptance of the updated terms.

19. Governing Law and Jurisdiction

These Terms and Conditions and any dispute or claim arising out of or in connection with them or the Services shall be governed by and construed in accordance with the laws of England and Wales.

The courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim arising out of or in connection with these Terms and Conditions or their subject matter.

20. Severability

If any provision of these Terms and Conditions is found by a court or other competent authority to be invalid, illegal, or unenforceable, that provision shall be deemed deleted, but the validity and enforceability of the remaining provisions shall not be affected.

21. Entire Agreement

These Terms and Conditions, together with any Booking confirmation or written agreement between the Client and the Company, constitute the entire agreement between the parties in relation to the Services and supersede any previous agreements, understandings, or arrangements, whether written or oral.
