This Health and Safety Policy sets out the standards and procedures followed by Cleaners W3 to protect the health, safety and welfare of our employees, contractors, clients and members of the public while our cleaning services are being delivered. We are committed to maintaining a safe working environment and to continually improving our health and safety performance.
Cleaners W3 recognises its duty of care to prevent injury, ill health and accidents arising out of our cleaning activities. We aim to identify hazards, assess risks and implement proportionate control measures for every job, whether carried out in homes, offices, common areas or other commercial premises within our service area.
Our objectives are to provide and maintain safe systems of work, safe equipment, appropriate information and training, effective supervision and clear emergency procedures. We expect everyone who works for and with us to take personal responsibility for their own safety and for the safety of others who may be affected by their actions.
Cleaners W3 complies with relevant health and safety legislation and recognised industry standards. We monitor updates to regulations and adjust our procedures when required. This policy is supported by specific procedures covering risk assessment, hazardous substances, manual handling, electrical safety, lone working and accident reporting.
The management team is responsible for implementing this policy, providing resources and reviewing performance. Supervisors must ensure that work is planned safely, that staff follow the procedures set out in this policy and that any safety concerns are acted upon promptly. All cleaners and contractors must cooperate with the company on health and safety matters, use equipment correctly, follow instructions and report hazards or incidents immediately.
Before work is undertaken, Cleaners W3 conducts risk assessments that are proportionate to the specific cleaning tasks and the premises involved. We identify hazards such as slips, trips and falls, manual handling, exposure to chemicals, working at height on steps, sharps, and interaction with building users.
For regular clients, risk assessments and safe working procedures are documented and reviewed periodically, or sooner if there are changes to the site or the scope of work. For one off cleans and new locations, dynamic on site risk assessments are carried out by the supervisor or operative in charge to ensure new or unexpected hazards are identified and controlled.
We manage cleaning chemicals responsibly to avoid harm to people or the environment. All cleaning substances supplied by Cleaners W3 are assessed under the Control of Substances Hazardous to Health, and information on safe use, storage and disposal is provided to employees.
Cleaners receive training on product labels, dilution instructions, ventilation requirements and first aid advice for each product used. Chemicals are kept in their original containers with labels intact and are never mixed unless the manufacturer specifically instructs otherwise. Substances are stored securely away from children, pets and food preparation areas.
Where risks cannot be eliminated by other means, Cleaners W3 provides appropriate personal protective equipment such as gloves, masks, eye protection and non slip footwear. The type of PPE issued depends on the work being carried out and the products being used.
Employees must wear PPE as instructed, keep it in good condition and report any loss or damage immediately so that it can be replaced. Shared PPE is cleaned or disposed of according to hygiene and safety requirements.
We aim to minimise manual handling risks by planning work to reduce the need for lifting and carrying. Where manual handling is unavoidable, cleaners are trained to use safe lifting techniques and to make use of trolleys or other aids where available.
All equipment such as vacuum cleaners, floor machines, steam cleaners, mops and steps or small ladders is selected for safety and suitability. Items are inspected regularly and taken out of use if found to be defective. Only trained staff are permitted to use electrical or powered equipment and must follow manufacturer instructions and company procedures at all times.
Maintaining good housekeeping standards is a key part of our safety approach. Work areas are kept tidy and cleaning tools, buckets and cables are positioned to minimise trip hazards. Wet floors are clearly identified using warning signs until they are dry, and suitable cleaning products and methods are selected to reduce slip risks.
Access routes, fire exits and emergency equipment must never be blocked by cleaning materials or waste. All waste is removed promptly and disposed of in line with local requirements and client arrangements.
Some cleaning tasks may be carried out by staff working alone. In these cases, Cleaners W3 assesses the specific risks and puts in place measures to keep lone workers safe. These may include check in procedures, agreed start and finish times, and restrictions on high risk activities when working alone.
Cleaners are instructed to be aware of their surroundings, to keep personal belongings secure, to challenge unsafe conditions, and to withdraw from any situation where they feel at risk, reporting the matter to management as soon as possible.
Cleaners W3 is committed to supporting the general health and welfare of our employees. We encourage good hygiene practices, including regular handwashing, safe handling of waste and appropriate use of disinfectants, particularly in high touch or sanitary areas.
All staff receive an induction covering this policy, site specific rules and emergency procedures. Ongoing training is provided for new equipment, updated products and any changes in regulatory requirements. Records of training are maintained and refresher training is delivered where necessary.
All accidents, near misses and dangerous occurrences must be reported to a supervisor or manager as soon as possible so that appropriate action can be taken. Details are recorded, and where needed, investigations are carried out to identify root causes and implement corrective measures.
Cleaners are briefed on fire evacuation routes, assembly points and alarm procedures applicable at each client site. They must cooperate with client emergency arrangements and ensure that their own work does not compromise fire safety or emergency access.
Cleaners W3 monitors health and safety performance through incident data, feedback from staff and clients, inspections and audits of working practices. Employees are encouraged to raise any health and safety concerns, suggest improvements and participate in discussions on safe working methods.
This Health and Safety Policy is reviewed regularly and after any significant change in our operations or applicable regulations. Updated versions are communicated to all employees and contractors to ensure that safe working standards are understood and consistently applied throughout our cleaning services.
